Hi MNK,
Promotional tickets are non transferable/no name changes permited, although flight dates can be changed for a fee, plus the difference between current price and the price you paid at the time.


Travel Insurance will cover any loss/cancellations of deposits made for your accomodation and airfares.

The procedure is as follows: You must have a doctors certificate to prove the person can not travel. Then you contact the airline explaining the situation, they in turn will probably say "sorry but no refund on promotional ticket". Ask them for this in writing stating that the ticket is cancelled, that there is no refund on your cancelled ticket (this is now your 'cancellation fee'.

You then contact your Travel Insurance company, send them the doctors certificate, letter from airline and your reciept of payment for the ticket.
Insurance company will/should refund you the total amount of the money you paid for the airline ticket, as this is now the 'cancellation fee' (its cost you the total price of the ticket to cancel).

The same with the accomodation, if you have paid eg $600 for accom, and the cancelation fee is say $150, your claim with the Insurance company will be for $150.

Hopefully you have taken out travel insurance that covers pre-existing conditions, as this could be the hiccough.

Contact your travel insurance provider to verify their procedures first!!!! As they might differ from the companies I spoke to.

I've just organised a group booking with Air Asia and done alot talking direct with various Travel Insurance companies to find the best/most suitable for our group, asking the question about cancelled promotional tickets and the information i have given you is the advice of the 3 different companies i spoke to.
